How to ship an Etsy order with your own label
The order sits in Completed, Etsy holds your carrier and tracking number, and the buyer has a shipping notification.

Before you start
- The label already bought and printed from your carrier
- The tracking number, copied from the label or the receipt
- Seller access to Shop Manager
- The date the parcel reaches the carrier
Steps

Open your open orders
In Shop Manager, select Orders & Shipping, then select the New tab.
You should see the paid orders you have not completed yet.

Start the completion panel
On the order you are shipping, select Complete order.
You should see a panel with a Ship date field and the shipping fields under it.

Set the ship date
In Ship date, choose the day the parcel reaches the carrier. Etsy accepts a date up to 3 days ahead and reads it in Eastern Time.

Choose the carrier
Under the ship date, select your carrier from the Shipping carrier list.
You should see a Tracking information field beside the carrier you picked.

Enter the tracking number
In Tracking information, paste the number from your label, then read it back against the label digit by digit.

Complete the order
Select Complete order.
You should see the order move to the Completed tab, and Etsy emails the buyer a shipping notification.
If it goes wrong
- "The tracking number is already in use for this order."
Etsy refuses a number already attached to that order. Open the Completed tab first: the earlier submission usually saved. If it did, correct it with Edit tracking rather than adding the number a second time.
- Tracking is not optional for US sellers
Etsy states that "Adding tracking information is required to complete an order for US sellers" (help.etsy.com, checked 13 September 2026). Only the documented exceptions complete without it.
- The ship date is measured, not decorative
A ship date set before the parcel actually moves counts against on-time shipping and puts Purchase Protection eligibility at risk, because Etsy requires the order to ship inside your processing time.
What happens next
You have 3 days from completing the order to change the carrier or the number. After that the only route left is an Etsy Message to the buyer.
Purchase Protection still covers up to $250 on an order shipped with your own label, because Etsy's condition reads "Valid tracking was provided and/or it was mailed out with a shipping label purchased through Etsy" (help.etsy.com, checked 13 September 2026). The soft cost is the Star Seller shipping score, which Etsy says its own labels "positively impact".
Buy the label, then paste the number back
We price USPS and UPS for the parcel and you buy the label from your gold balance. The tracking number stays on screen, so you can paste it straight into Tracking information. Weight comes from your saved product presets or from what you type once.
