Paid eBay orders in.
Tracking back on eBay out.
A paid order arrives with the buyer, the shipping address and a weight prefilled from the listing. You buy the USPS or UPS label. The tracking number and carrier code go back in the same action, so eBay marks the order Shipped and emails the buyer.
Free account. Pay per label. USPS and UPS.
What eBay counts as late
A shipment counts late only when both of these are true. The delivery scan lands after the latest estimated delivery date the buyer saw, and there was no carrier scan inside your handling time. Either alone is not late.
Handling time runs from the buyer paying to that first carrier scan, in business days by default. Printing a label does not stop the clock. The scan does.
eBay evaluates seller levels on the 20th of each month. Top Rated also wants 100 transactions and $1,000 in US sales over twelve months.
The thresholds and definitions are eBay's, published on eBay's seller standards policy.
- 3%Late shipmentsTop Rated allows no more than 5 late shipments, or 3% of them.
- 95%Tracking uploadedUploaded inside handling time and validated by the carrier, on at least this share of transactions.
- 2%What drops a sellerBelow Standard comes from a defect rate above 2%, or cases closed without seller resolution. Late shipments alone do not.
One eBay order, from Paid to Shipped
Three moves. Only the middle one is yours.
-
Step 1
The paid order arrives
An eBay order notification wakes the sync, with a poll every 10 to 15 minutes behind it. The order lands with the buyer username, the shipping address, the line items, the money in cents and the listing weight.
-
Step 2
You buy the USPS or UPS label
Both carriers are priced against that address and that weight, with your shipping rules, service mappings and presets applied first. Full price before you buy.
-
Step 3
Tracking goes back to eBay
We call
createShippingFulfillmentwith the lines covered, the tracking number and the carrier code. eBay marks the order Shipped and emails the buyer. Failed posts retry for seven days.
USPS and UPS, priced on every eBay order
Both carriers are priced against the buyer's address, the weight on the order and the packaging you actually use.
The checkout shipping method the buyer chose maps to a service you decide on.
Weight is a best effort prefill from the eBay listing. Some listings carry package details and some do not, so treat it as a head start, not a source of truth. Every number is editable.
What we read from eBay, and what we write back
The eBay consent screen says a lot in few words. Here it is, field by field.
Read from eBay
| Field | What lands on the order |
|---|---|
orderId, orderFulfillmentStatus, paymentSummary | The eBay order number, its fulfillment state and the payment summary. Paid orders are pulled, unpaid are not. |
buyer.username | The buyer username, as eBay shows it on the order. |
shippingStep.shipTo | Recipient name, contact address plus the phone and email eBay releases. |
lineItems[] | Each line with its title, sku, quantity and cost. |
ShippingPackageDetails | Package weight and dimensions off the listing. Best effort, often absent. |
pricingSummary, totalMarketplaceFee | Item total, delivery paid, tax and the preliminary fee, in cents. |
cancelStatus | A cancellation at eBay, with an alert if a label was bought. |
Written to eBay
| Field | What eBay receives |
|---|---|
createShippingFulfillment | One call, the moment the label is bought. |
lineItems | The lines it covers. Ship two of five, three stay open. |
trackingNumber | The number off the USPS or UPS label. |
shippingCarrierCode | USPS or UPS, so the buyer sees who has it. |
Nothing else leaves on its own. We never write cancellations, refunds or order edits. Listings change only when you ask, from a screen that shows the change first. Void a label and the fulfillment stays on the eBay order as it was.
Works today, and what is not included yet
The second column is the honest one.
Works today
- Paid orders, within minutesAn eBay notification wakes the sync. A 10 to 15 minute poll backs it.
- Tracking back on purchaseThe fulfillment posts when you buy. Failures retry for a week.
- Part of an orderShip some lines now, the rest later.
- Two years of historyImport pulls up to 730 days of eBay orders, newest first.
- Fees that settleThe booked eBay fee replaces the estimate every six hours.
Not included yet
- Ship from locationsEvery eBay order rates from one address.
- Order tags in rulesRules read the checkout service, not eBay tags.
- Continuous inventory syncNothing runs against your listings on a schedule. Quantity changes when you change it.
- ReturnsAn eBay return stays on eBay, refund included.
- Combined invoicesWe create none on eBay. We do group orders going to one address so a single label covers them.
The eBay fee on the order stops being a guess
An eBay order arrives carrying a preliminary fee. We mark it estimated, because it is.
Every six hours we read eBay Finances and replace that estimate with the booked total: the sale fee, plus the ad and dispute charges eBay attributes to the order. Until then it keeps its (est.) marker.
Two limits. Refund fee credits are not subtracted, and account level Promoted Listings charges never attach to an order.
What a label costs here
Labels print below USPS commercial pricing, and you see the full price before you buy. The account is free, there are no minimums, and you pay per label.

eBay shipping questions, answered
- Why is my eBay late shipment rate high if I shipped on time?
eBay counts a shipment late when the delivery scan lands after the latest estimated delivery date and no carrier scan happened inside your handling time.
- When does eBay handling time start and stop?
Handling time starts when you receive payment for the item and ends when your package is scanned by the carrier.
- How do I upload tracking to eBay so it counts on time?
In Seller Hub open Orders, find the order under Paid and shipped, select Add tracking number, choose the carrier and save.
- How do I get an acceptance scan the day I ship?
Hand the parcels to a carrier while the counter or the route is still running, or print a USPS SCAN form so one master barcode records acceptance for the whole batch.
- What handling time should I set on eBay?
Set the shortest handling time you can hit on your worst day, not your best.
- Which carriers does eBay accept tracking from?
eBay accepts tracking from any carrier on its integrated carrier list, which is what the carrier dropdown shows when you add tracking to an order.
- Can I mark an eBay order shipped without tracking?
Yes. Seller Hub lets you mark a paid order shipped by hand, and the buyer sees it as Shipped.
- Does tracking protect me from an eBay item not received case?
Only if it passes eBay's evidence test. eBay asks for a tracking number from an integrated carrier, uploaded to eBay, showing a shipping scan before the latest estimated delivery date and a delivered or attempted delivery status with the date.
- What are the eBay Top Rated Seller requirements?
Top Rated Seller has four performance thresholds: late shipment rate, tracking uploaded within handling time, transaction defect rate, and cases closed without seller resolution.
- Can I ship an eBay order with a label bought elsewhere?
Yes. eBay does not require you to buy the label on eBay, so buy the USPS or UPS label wherever you like.
- How do I combine eBay orders from the same buyer?
If the buyer has not paid, set combined shipping rules in Shipping Preferences, enable combined invoices, then select the orders and send one invoice.
- Two paid eBay orders, one box: how do I ship and track it?
Buy one label for the box, then upload that same tracking number to both eBay orders so each is marked Shipped and each carries a carrier scan.
- How do I print labels for many eBay orders at once?
In Seller Hub, open the Orders tab, tick the boxes beside two or more orders, then choose Purchase Shipping Labels from the Shipping dropdown.
- eBay International Shipping: which label do I buy?
You buy a standard domestic US label to the hub address eBay puts on the order.
- How do I see which eBay orders must ship today?
Open Seller Hub, go to the Orders tab and filter to Awaiting shipment, which lists the orders that are paid but not shipped.
- How many tracking numbers can one eBay order have?
Up to 6 tracking numbers per order. You add them in Seller Hub under Dispatch, or in My eBay from More actions, and each one you save emails the buyer the tracking details.
eBay integration questions
Handling time is the business days between the buyer paying and the first carrier scan. Buying a label does not stop that clock. The scan does. Posting tracking early gives eBay a number to watch, but the parcel still has to reach the carrier inside your window.
On purchase we post a shipping fulfillment against the order with the line items it covers, the tracking number and the carrier code. eBay marks the order Shipped and emails the buyer. Failed posts retry for up to seven days.
The refund runs against the carrier, in the app. We never push cancellations or order edits to eBay, so the fulfillment stays as it was. If the parcel is not going out, update the order on eBay yourself.
USPS and UPS, priced side by side on every order against the buyer address and the weight. The carrier code travels back with the tracking number.
Yes. History import pulls up to two years of past eBay orders, newest first, so analytics and profit and loss open with real history instead of starting today.
Recipient fields are nulled once the order is closed or cancelled and 90 days past the order date. The order row stays for analytics, without the buyer name, address or contact details.
It deletes the connection on our side. The token stays valid at eBay until it expires, so revoke it in your eBay account too.
