How to use a third-party shipping app on Etsy

Before you start

• The date your shipping tool was first connected to Etsy
• Seller access to Shop Manager on a computer
• A way to get order rows into your shipping tool

Steps

1. Check which side of the October 2024 line you are on

   Etsy limited automatic syncing for US sellers to Shippo and ShipStation from 21 October 2024. Connections made before that date are carried over, so an older setup may still be posting tracking for you.

2. Open the order download form

   In Shop Manager, select Settings > Options > Download Data.

   You should see the export form, with the data type at the top.

3. Choose the orders data

   Select Orders.

   You should see a CSV Type list, plus Month and Year.

4. Set the type and the period

   Choose the CSV type you need, then the year and the month.

5. Download the file

   Select Download CSV.

   You should see a spreadsheet of the period's orders on your computer.

6. Load the rows into your shipping tool

   Import the file, or paste the rows, and map the recipient, address, city, state, zip and weight columns to the fields your tool expects.

7. Buy and print the labels

   Rate the parcels and buy the labels in your tool, keeping the tracking numbers beside the order numbers.

   You should see one tracking number per Etsy order, ready to post back.

8. Open the first order's completion panel

   In Orders & Shipping, open the order and select Complete order.

   You should see the ship date, carrier and tracking fields.

9. Enter the carrier and the number

   Select the carrier, then paste that order's tracking number.

10. Complete the order, then repeat

    Select Complete order, then work down the rest of the run the same way.

    You should see each order in the Completed tab with its number on it.

If it goes wrong

Tracking never reaches Etsy

A newer third-party app cannot submit it for you. Etsy states that address access, tracking submission and marking the order shipped "will need to be done manually", which is the rule behind numbers that stop appearing after a tool change.

The buyer address is missing in the app

Address access is part of what Etsy withholds from newer integrations. The export is the documented way to get addresses out, so treat it as the input to the whole run.

The 3 day window runs per order

A manual run means the numbers go in one by one, and each entry starts its own 3 days for corrections. Post them back the same day you buy the labels.

What happens next

Every number you paste in counts toward the Star Seller measure, "95% of orders ship on time, with valid tracking or a shipping label purchased on Etsy (when required)". Purchase Protection is unaffected by the tool you used, because the condition is "Valid tracking was provided and/or it was mailed out with a shipping label purchased through Etsy", with cover up to $250.
