How to ship an eBay order on an unlisted carrier

Before you start

• The order open in Seller Hub.
• The name of the carrier you want to use.
• A decision you are willing to live with on protection, before the label is bought.

Steps

1. Decide about the carrier before you buy the label

   eBay ties protection to its integrated carriers, not to where the label came from: "If you ship an item within your stated handling time, and you upload tracking before the estimated delivery date from one of eBay's integrated shipping carriers that shows evidence of successful delivery, you won't be responsible for refunding the buyer" (eBay seller protections, checked 13 September 2026).

2. Open Paid and shipped in Seller Hub

   In Seller Hub, open Orders, then Paid and shipped, and find the order.

   You should see the order with its buyer and item.

3. Select the order by checking the box next to it

   eBay's tracking steps start with the order selected.

   You should see the box ticked and the order actions available.

4. Open the tracking control

   With the order selected, select the Dispatch dropdown menu, then Add tracking number.

   You should see fields for the shipping carrier and the tracking number.

5. Look for your carrier in eBay's carrier field

   Check whether the carrier you want appears. eBay does not publish the contents of this list anywhere in its help centre, so what you see on your own account is the only reliable answer.

   You should see either your carrier available to pick, or a list that does not include it.

6. Enter the number and select Save

   With the closest available carrier picked, type the tracking number and select Save.

   You should see the order showing as shipped with the number attached.

7. Optional: Use eBay's abbreviation if you are uploading a file

   In the Seller Hub tracking upload, Shipping Carrier Used takes eBay's carrier abbreviation, such as UPS, and rejects a service name such as UPSNextDay.

If it goes wrong

eBay does not document what is in the carrier list

No eBay help page lists the carriers in the tracking dialog, and none documents a free-text entry. We have not verified one, so do not plan a batch or a regional carrier contract around the assumption that it exists. Check the field on a single order first.

Accepted is not the same as validated

A number eBay accepts still has to be validated by the carrier for Top Rated purposes, and eBay states that tracking "must show an acceptance scan to prove shipping". Two different tests, and an unlisted carrier can pass the first and fail the second.

Proof of delivery gets harder, not just protection

eBay's Money Back Guarantee proof of delivery expects integrated-carrier tracking uploaded to eBay with a scan before the latest estimated delivery date, a delivery status and date, and a recipient address whose zip matches. A carrier eBay does not read cannot supply that.

What happens next

Top Rated requires at least 95% of transactions with tracking uploaded within handling time and validated by the carrier (eBay), so numbers eBay cannot validate work against that percentage even when the parcel arrives. Top Rated also allows no more than 5 late shipments or 3% of transactions, and eBay counts a shipment late when the delivery scan lands after the latest estimated delivery date with no carrier scan inside handling time.
