Shipping software for Etsy sellers

I'd Ship That does not connect to Etsy. If Etsy is your only shop and you ship a few orders a day, Etsy Labels is simpler: the order completes when you buy. A separate tool fits when you also sell elsewhere or batch the day: import Etsy's orders file on Pro, then add each tracking number in Etsy by hand.

Should you keep using Etsy Labels?#

Etsy Labels is bought from the order itself: Etsy fills in the buyer's details, notifies the buyer and marks the order Complete. It offers USPS cubic pricing on qualifying packages, and its label meets Purchase Protection's tracking condition on its own.

A separate tool cannot complete the order for you. From 21 October 2024 Etsy limits automatic tracking for US sellers to Shippo and ShipStation; for any other app, ours included, it says tracking submission and marking the order shipped "will need to be done manually". Using a third-party shipping app on Etsy has the steps.

Stay with Etsy Labels when

  • Etsy is your only sales channel.
  • You buy a handful of labels a day, one order at a time.
  • You want each order to complete itself when you buy.
  • You ship with a carrier Etsy sells other than USPS or UPS.

Add a separate tool when

  • You also sell on eBay, resale apps or direct, and want one list.
  • You batch the day into one 4x6 PDF, each label followed by its slip.
  • You want each label's full price before you buy.
  • Someone packs with you and needs their own login.

The paste-back is worth it when you sell beyond Etsy, rarely when Etsy is all you sell.

What does no Etsy connection mean for each order?#

Two hand steps a connected store would not have: orders come in as a file you download, and tracking goes back as a number you add to each order. Everything between works as for any other order. The table is about who does each job, not price.

Etsy does not mark you down for typing the number in: it measures on-time shipping with valid tracking, however the number got there. The risk is delay, a number added at the end of the week instead of the day you bought the label.

From the orders file to a batch of labels#

Etsy's export is the documented way to get buyer addresses out of the shop: download it from Shop Manager on a computer, for a month or a year, as one of four CSV types (Exporting Etsy orders to CSV has the clicks). Drop it into The Workbench (Pro), check the column matches on the first import, and every row is priced from the cheapest rate shown.

Which file
The order items file: a row per item with the SKU, joined back into one order. The orders file hides the items.
Shipped orders
No unshipped filter. Rows it marks shipped are left out; check the rest against the New tab in Shop Manager.
Package weight
Not in the file. Weigh each packed item, or save your usual mailers and boxes as packages.

Putting tracking back into Etsy, order by order#

The step to plan for: each Etsy order labelled outside Etsy needs its carrier and tracking number added through Complete order, which sends the buyer the shipping notification. Adding tracking to an Etsy order by hand shows the fields.

Ship date
Read in Eastern Time, settable up to 3 days ahead, and measured for on-time shipping: give the day the carrier takes the parcel.
Edit tracking
Open for 3 days after you complete each order.
Valid tracking
Valid for the carrier you pick: select it first, then paste the number with no stray spaces.
  1. Buy the batch, keeping tracking numbers beside Etsy order numbers.
  2. Print and pack the run, then get it scanned.
  3. In Etsy, complete each order with its carrier and number, the same day.
  4. Check the Completed tab for every order in the run.
Do the paste-back the same day

Orders completed on Monday for a Tuesday drop-off carry Monday's date unless you change it.

Keeping Purchase Protection on a label from here#

Etsy's Purchase Protection for sellers does not require an Etsy label. Its tracking condition reads "Valid tracking was provided and/or it was mailed out with a shipping label purchased through Etsy", and every label I'd Ship That sells is tracked. Tracking is one of four conditions; Etsy Purchase Protection with your own label walks through each.

  • Ship inside your listing's processing time, the condition sellers miss most.
  • Complete the order with the carrier and valid tracking.
  • Leave third-party insurance off: Etsy makes a third-party insured order ineligible, and insurance bought here is third party to Etsy.
  • Answer a Help with Order request within 48 hours.

So insurance is a per-parcel call, made before you buy. Purchase Protection covers up to $250 an order, so below that Etsy's cover is usually the one to keep; on a piece worth more, insuring it here covers the value you declare, in place of Etsy's cover.

Printing the run and handing it over#

The bought batch prints from The Workbench (Pro) as one PDF, 4x6 for a thermal label printer or letter. With packing slips, each label is followed by its own slip, so the mug's slip goes in the box with the mug's label.

For handing it over, make one SCAN form for the day's USPS labels, free from My Labels. One scan of it enters every package in USPS Tracking, backing the ship date you gave Etsy. UPS parcels go to UPS; a USPS carrier pickup can be booked from the app at no charge.

Sample print step for a day of Etsy orders in The Workbench: one 4x6 PDF, each label followed by its packing slip.

Selling on Etsy and somewhere else#

This is where shipping software for Etsy sellers pays for the paste-back. Etsy Labels sees Etsy orders; sell somewhere else too, on eBay, at markets or direct, and the day splits across two or three shipping tools.

Here the Etsy file joins one list with your connected eBay store, whose tracking goes back as you buy, and spreadsheets or pastes of direct orders. One batch, one PDF, one SCAN form; only the Etsy orders need a number pasted back.

Shipping software for eBay sellers covers the eBay side; shipping software for resellers sorts out which resale apps supply their own label.

Etsy shipping software questions#

No. Etsy orders come in through Etsy's own orders file, which The Workbench (Pro) reads, or one address at a time on either plan. The tracking number goes back into Etsy by hand, through Complete order on each order.

Yes. Etsy's own instruction, if you buy a label off Etsy, is to select a shipping carrier and add tracking information, and it tells US sellers they can purchase a label from another provider. Shipping an Etsy order with your own label covers it.

For US sellers, Shippo and ShipStation: Etsy limits automatic tracking to those two from 21 October 2024, and carried over integrations made before that date. With any other app, including I'd Ship That, Etsy says tracking submission and marking the order shipped have to be done by hand.

No. Etsy measures on-time shipping with valid tracking, and a number typed into Complete order counts the same as one posted by an app. What hurts is adding it late, or giving a ship date before the parcel actually moved.

Not for the label: valid tracking meets Purchase Protection's tracking condition whoever sold it. But Etsy treats an order insured through a third party as ineligible, so adding insurance to the label here means choosing that cover over Etsy's for that order.

The order items file, which has a row per item with the SKU. The Workbench joins the rows of one order back together, so you see what is in each box. The orders file works too, but it is one row per order and hides the items.

Yes, with Edit tracking in the Completed tab, for 3 days after you completed that order. After that Etsy offers no field, and the remaining route is a message to the buyer.

No. Importing Etsy's orders file and printing the run in The Workbench is part of Pro. A single label typed in by hand, a SCAN form from My Labels and a USPS carrier pickup are on either plan. Billing and fees lists every charge.
